Introduction
Fleet Rocket TMS is not just a transportation management system for operating and monitoring in isolation, but also supports your administration and finance departments and teams, both on a day-to-day basis and at the end of each period.
Below is a brief summary of the processes and features that can be used to streamline and automate these areas from Fleet Rocket TMS.
Profiles, Accounts, Users and Roles
Use of Profiles
Fleet Rocket is not a closed TMS that operates internally within your company, but rather is designed so that different profiles can access and interact with it on behalf of your company, saving manual work and providing efficiency and automation for finance teams as well.
With the Back Office (BO) profile, provide full access to your company's employees. Your finance teams will have their own user accounts in the TMS, allowing them to feed and consume information directly in the TMS itself, independently.
For example:
- A finance employee can directly access a shipment to check its accessories, who added them, why, their quantity, and read the comments file, and compare all this data independently with the supplier's invoice, without interrupting her coworkers.
- Any employee can upload financial documents such as invoices in PDF or XML format in an orderly manner to their corresponding shipment. It no longer matters whether it is received, for example, in the WhatsApp group in the middle of the operation or in pure finance: anyone in the company has the option to help and feed the system, keeping all financial documents correctly organized.
- Finance employees will be able to see which shipments have POD or not directly in the system with their user account and even communicate from the TMS via messages or notifications for collection.
With the Carrier profile, your suppliers can connect directly to the TMS, independently attaching all their financial documentation directly to each corresponding shipment. This saves manual rework later on by the finance teams.
Similarly, with the Driver profile, drivers can connect directly to the TMS, live and conveniently from their cell phone, attaching newly received PODs in real time, directly to each corresponding shipment. This saves manual rework later on by the finance teams.
It even has an Agent profile, in case you have external staff working on commission in different parts of the operation. Your agents will be able to conveniently see how their accounts, shipments, and sales/purchase commissions are progressing independently, without having to constantly contact the finance teams.
Use of Accounts
Store all your shipper and carrier accounts in your TMS, with:
- Contact directory.
- Directory of users with access to the TMS.
- List of facilities and points of interest already preconfigured for fast and efficient handling of your shipments.
- List of preconfigured fleet units for fast and efficient operation of your shipments.
- Documentation repository for each account and fleet.
- History and reports.
Finance teams will be able to view all contacts for their carrier and shipper accounts directly in the system. Contact lists include financial contacts, accounts receivable/payable, escalation contacts, etc.
In addition, shipper and carrier accounts have a documentation section where teams can upload various documents related to accounting and financial activities in an organized manner, such as route contracts and ancillary agreements.
Use of Users and Roles
The system has countless roles, allowing you to control in detail who can do what in the system.
You can centralize documents or functions in your TMS, limiting their viewing and execution to your finance teams only, if necessary.
Income, Costs, and Ancillaries
At the shipper account level, you can configure the desired margin for each specific account.
At the shipping level, you can record both the load income and the cost of the transport service, as well as ancillary costs on both sides.
At all times, you have visibility into the pre-calculation of the shipment margin vs. your expected margin, so that operational teams have visibility into their financial metrics while operating in real time.
Documentation
Automatic generation of CRC and SRC
Fleet Rocket TMS automates the creation and reissuance of documents with customers (Shipper Rate Confirmation) and carriers (Carrier Rate Confirmation) when conditions change, automatically and in real time, saving operational and administrative teams a great deal of manual work and human error.
For example: if an ancillary cost is added to a shipment, Fleet Rocket TMS will regenerate the CRC, updating the cost of the shipment with this additional cost, store it chronologically in the documentation section available to the different teams involved, and automatically send it to the carrier. All of this is done without human intervention and in real time.
In addition, CRC documents are branded with our customers' logos and corporate information and are customizable. Many customers use Fleet Rocket TMS CRCs as service sheets, which are also signed at the destination, serving as proof of delivery (POD) for the shipment and allowing our customers to automate the bureaucratic burden of this paperwork for their operational and administrative teams.
Compilation of PODS
Fleet Rocket TMS allows you to differentiate between unloaded cargo with or without proof of delivery (POD). And for cargo unloaded without POD, the system sends numerous notifications to carriers via email, WhatsApp, and mobile app, automating the collection of PODs without human intervention.
Billing and Evidence Portal for Carriers
As we have already mentioned, Fleet Rocket TMS has a Carrier Profile, through which your carriers can access their own portal and manage their loads directly for you.
One of the options on the portal is the Pending Invoices section, where carriers can access a list of all their uncompleted loads and conveniently check which shipments have their PDF invoice, XML invoice, and pending POD, and upload them in an orderly manner.
Operators can also conveniently upload PODs in the mobile app.
This documentation will be conveniently attached for you in your corresponding shipments within the TMS.
Share this portal with your carriers and outsource 100% of the collection of invoices and evidence from your transportation providers.
Automatic Billing Process
Thanks to this launch, automate the compliance process within your finance and accounting departments.
Fleet Rocket TMS can read and compare the information contained in your TMS shipments with invoices in PDF and XML format (stamped by the Mexican Tax Authority, SAT).
If everything is correct, complete your shipments automatically. If errors or inconsistencies are detected, notify your teams for a detailed review, but now focused on specific cases, minimizing repetitive manual work and saving resources in your administrative and financial departments.
Possibility of Integration with Third-Party Systems
Fleet Rocket TMS is a product developed entirely in-house, and FR8Technologies has a robust IT team with extensive experience in custom development and integration with external solutions.
Upon request, Fleet Rocket TMS can be connected to internal or external accounting and invoicing solutions, automating tasks and processes, saving manual work and human error in these important areas following the logistics operation of your shipments.
Use of LoadBoard
The advanced LoadBoard is not only a tool for operational teams, but also has functionality for financial and accounting teams.
For example:
- You can create filters for shipments that do not yet have a POD. This way, if the task of collecting proof of delivery is assigned to your finance teams, they can work in LoadBoard with a convenient list of shipments without POD, or, for example, if they are meeting with a shipper's or carrier's finance team, they can create a filter on the spot, filtering all shipments in the account without POD.
- If inconsistencies are found in an invoice, for example with the amount of ancillary costs, the shipment can be searched for in seconds on the LoadBoard, and the finance person can independently analyze the shipment log, the details of income, costs, and ancillary costs, who added and/or approved them, comments on the shipment, etc.

Fleet Rocket TMS has several preconfigured reports, which we will detail below.
However, before going into detail about the reports already available, it should be noted that our Advanced Loadboard is not only used for operations, but also to generate ultra-detailed reports instantly.
When creating smart filters or tabs on your LoadBoard, you can choose from hundreds of key shipment data points, allowing you to find virtually any information you need, no matter how broad or detailed.
Once the information has been filtered through your smart filter, you can download it or send it in the form of a report, which means your teams can generate any customized report on the spot.
