How to upload documents regarding an inventory item
Introduction to Inventory
Access to Inventory in FleetRocket
Inventory is a FleetRocket tab that provides management and control of the fleet of vehicles of the carriers present in the FleetRocket system.
They are divided into:
Tractors.
Trailers, which have three types of inventory: (Dry Van, Flatbed, Reefer Box, Tortons, and Rabons).
The six tabs work the same way.
Types of Inventory
Tractor: The part of the truck that contains the engine and is operated by a trained operator.
Trailer: The part of the truck that contains the cargo/merchandise. These can vary in axles depending on the type of trailer and the merchandise to be transported.
Dry Van (Trailer): A type of semi-trailer that is completely enclosed to protect the merchandise from external influences.
Flatbed (Trailer): A type of trailer with no walls or roof and is completely open.
Reefer (Trailer): A type of trailer consisting of a highly insulated and enclosed container that includes a refrigeration unit to control the temperature inside.
Rabons (Trailer): A truck that pulls a trailer, usually covered, for transporting heavy loads.
Tortons (Trailer): A cargo vehicle with two axles, suitable for transporting medium or fractional loads, with a capacity of up to 20 tons.
Inventory Management
To view a specific inventory listing, click on Inventory and then click on the listing you want to view, for example, Tractors.
When you access the inventory section, you'll see several ways to manage your inventory, which are explained below:
Search/filter.
Add new items.
View details of an existing item.
How to filter/search the inventory list
To add parts to the inventory list, you must go to the tab that corresponds to that inventory type (Trailer, Dry Van, Flatbed, Reefer Box).
For example, if you want to add a Tractor, click Inventory > Tractors.
Once inside, click on Filters.
Once the Filters window opens, you can enter data related to the Tractor, as well as select dates of creation, update, or expiration of the registration.
Finally, click on Search.
That way, you will finally be able to see the list with filters applied.
How to Add Inventory
To add new inventory from a listing, you need to go to the tab that corresponds to that inventory type (Tractors, Dry Van, Flatbed, Reefer).
For example, if you want to add a Tractor, click Inventory > Trailers.
Then click on the button that says Create New in the top right corner.
Fill in all the necessary fields to register this inventory item.
You can upload related documents if you already need them.
Click Add Documents.
Click Choose File and select from your computer's documents.
Select the Document Type from the drop-down menu. Finally, click Save.
If you've completed everything required and uploaded the necessary documents, click Create Tractor.
Once created, it can be seen in the list.
How to Edit Inventory Details (Tow / Tractor)
You can also edit the information for an inventory item if you have more up-to-date information or related documents.
To edit an inventory item from a listing, go to the tab for that inventory type (Trailers, Dry Vans, Flatbeds, Reefer Boxes, Tortones, and Rabones).
For example, if you want to edit a Tractor, click Inventory > Trailers.
Go to the inventory you want to edit within the listing and click the details button.
Once inside the details page, you can edit everything you need in the inventory fields.
Once everything necessary has been updated, finish by clicking Update.
Activate/Deactivate an Inventory Item
Inventory items can be deactivated and reactivated to indicate their availability within the system. (By default, an inventory item is always displayed as active when created.)
If you want to deactivate an inventory item, go to the details page.
Once inside the details page, click on the button that says Deactivate.
Enter a reason or motive and click Save
To activate an inventory item, you need to do the same process, but instead of clicking Deactivate, click Activate.
Inventory Units
Once you've created your inventory units, you can access various tabs in addition to their basic information to view or modify other items related to your inventory.
Documents
You can attach documents related to the inventory items on the list, such as the following:
Registration: The vehicle registration document, which is required to put a vehicle into circulation, varies by country.
Proof of insurance: Any document that proves the vehicle has accident or property insurance provided by an insurance company.
Cab Card: A type of registration document issued by the entity where the vehicle has jurisdiction and provides vehicle information such as license plates, weight, etc.
Truck Photos: Photographs related to the inventory.
How to upload documents regarding an inventory item
Inventory items have a document tab where you can view attached documents, as well as upload documents even if they have been previously created.
If you want to upload a document for an inventory item, you must go to its details page.
Once inside, click on Documents in the third tab from the top.
Once in the list of documents, you can click on Add Document.
Click Select File and select from your computer's documents.
We select the Document Type from the drop-down menu, and finally click on Save
Inventory change log
Any changes made to an inventory item (creation, deactivation, activation), will be recorded in the inventory item's log on the details page.
Just go to the details page.
Once inside, in the third tab from the top, click Log. This way, you'll be able to see all the changes this inventory item has undergone.
